Your mission
JCCBI is looking for a Clerk 1 to help fulfill the mission of the Operations and Maintenance Department which is stated as follows: our department continuously monitors and maintains the Corporation’s entire network and infrastructure to contribute to good traffic flow and keep users safe.
Main duties
Reporting to the Director, Operations and Maintenance, you will serve as clerk for all employees of the Operations and Maintenance Department and other services of the Corporation as needed and will fulfill various administrative and clerical duties.
- Process and revise documents for calls for tenders and requests for proposals that contain technical specifications (large documents that require advanced knowledge of Word functionalities, such as automatic paragraph numbering, headers/footers on separate pages by section, and extensive page layout).
- Enter timesheets, expense accounts and track the overtime of the field team.
- Administrative follow-up of invoices and complete the registers.
- Help on-site staff enter daily work reports into systems.
- Assist technical staff with vehicle fleet management, fuel management, and building maintenance.
- Process and revise memos, letters, forms, tables and reports.
- Organize and attend meetings (quick note-taking ability) and write up minutes.
- Diligently organize documents.
- Manage and distribute documents.
- Take over the administrative tasks of team members during vacation periods or in the case of overflow.
- Welcome visitors and answer the phone.
- Perform all other related tasks.
Experience and education
- College diploma in secretarial studies, office technology or administration with minimum relevant experience of at least three years or an appropriate and equivalent combination of education, training and experience.
- Proficiency in the Microsoft 365 suite: advanced-level knowledge of Word and intermediate-level knowledge of Excel and Outlook.
- Strong writing, note-taking, and minutes/report preparation skills.
- Excellent knowledge of written and spoken French and good knowledge of English, both oral and written.
Assets
- Working knowledge of PowerPoint, Adobe Acrobat and MAXIMO (GMAO).
- Experience in a maintenance or public works department.
- Knowledge of generative AI tools such as Copilot and prompt engineering.
