Senior Project Coordinator

Full-time, permanent and unionized position – 37.5 h/week

2019 salary (depending on experience): $103,095.07 to $114,550.09

SUMMARY

Reporting to the Project Director, the selected candidate will ensure projects are successfully carried out by managing and coordinating activities related to the management processes for projects under your responsibility. In addition, you will actively help develop and implement project-based management in line with the philosophy of the Project Management Institute (PMI). You will produce, receive and analyze reports and recommend measures to the Project Director and/or projects team. In close collaboration with the team, including the Project Control Officer (PCO), you will contribute to project planning and budget, cost and deadline control. You will also act as a mentor and actively help coach project team employees.

 

MAIN DUTIES

Project management

  • Define, analyze and follow up on project needs to ensure that all planned work is carried out.
  • Act as a key go-between for the Project Director, the different sector leads, and the PCO.
  • Contribute to post-prefeasibility/pre-kickoff meetings and mitigate the risk of potential issues.
  • In close collaboration with the sector leads and the PCO, plan and conduct meetings for project SAP integration and monthly report reviews.
  • With the Project Director, prepare the project charters and plan by applying different aspects of project-based management.
  • Manage project modification requests.
  • Be responsible for preparing project deadlines in MS Project.
  • Help with variance analysis for accruals.
  • Analyze progress reports from sector leads to follow up with the PCO and communicate the information to the Project Director in a report.
  • Evaluate and quantify potential risks related to projects and submit an analysis to the Project Director.
  • Escalate information to the Project Director when required and ensure that the contingency plan is in place and properly reflected in the budget.
  • After work is completed, participate in post-mortem meetings to make any necessary links with your projects (project closure, lessons learned, etc.).
  • Create a list of internal and external stakeholders for each project and coordinate activities with them.
  • Recommend solutions to the Project Director for any non-project problems that may affect your project.
  • Carry out all other tasks or responsibilities related to this area.

Mentoring (matrix)

  • Act as a mentor for employees on the project teams and in the Project Directorate by sharing your project management expertise.
  • Exercise professional leadership on complex projects that have a significant impact for the Corporation.
  • Recommend priority action plans concerning ongoing and future projects.
  • Be a key adviser for colleagues in various departments to help continuously improve the project management process.
  • Use professional concepts to develop new approaches to solve critical problems or generate opportunities.
  • Participate on JCCBI’s working committees.
  • Recommend improvements to project management tools and initiate, support and disseminate new approaches to improve organizational efficiency, when required.
  • Carry out all other tasks or responsibilities related to this area.

REQUIREMENTS 

  • Bachelor’s degree in engineering (civil engineering an asset) with at least twelve (12) years of relevant experience.
  • Be a member of the Ordre des ingénieurs du Québec.
  • Have at least two (2) years of experience in the management of major projects.
  • A master’s degree in project management would be considered an asset.
  • PMP® certification (an asset).
  • Expertise in cost management and planning.
  • Relevant experience in managing a multidisciplinary team or in team leadership.
  • Demonstrate influential leadership, be able to motivate colleagues and be highly adaptable.
  • Stand out through your understanding of the matrix project environment, your work organization skills, and your ability to manage or supervise several projects simultaneously.
  • Focus on planning and coordination; be able to understand and present an overview of your projects.
  • Demonstrate strong relationship and interpersonal skills, good team work, and excellent tact.
  • Be a very good communicator: proactively, clearly, concisely and effectively communicate with stakeholders from a range of seniority levels.
  • Be able to transfer your knowledge in a constructive way.
  • Have experience with engineering consulting firms and/or contractors in the road infrastructure sector (an asset).
  • Meet goals and deadlines and show good decision-making.
  • Have ASP certification to work at a construction site and have a valid class 5 driver’s license.
  • Have good writing skills and be able to understand and interpret plans, specifications and technical drawings.
  • Know how to use MS Office (Excel, Word, Outlook, and Access) and MS Project.
  • Mastery of written French and very good knowledge of oral and written English.
